Every inquiry goes to one address: support@cloudpracticemanagementsoftware.com. A person reads it and replies; there is no ticket bot in between.
- Before a trial — whether the product fits your specialty, what it would cost at your headcount (the prices are published), or what it deliberately does not do.
- During a trial — anything that is not working the way you expected. A screenshot of the screen helps; a screenshot of a patient’s chart does not (see below).
- Switching systems — what your current system exports and how it maps across. The switching guides cover the common ones first.
- Billing and your account — invoices, seats, adding or removing staff, cancelling.
- Privacy and records — requests about personal information go to privacy@cloudpracticemanagementsoftware.com.
- Security — if you think you have found a vulnerability, email the support address with “Security” at the start of the subject line.
Please keep patient information out of email
Email is the wrong place for anything that identifies a patient: names, dates of birth, member IDs, diagnoses, session notes, or a screenshot that shows any of them. Describe the problem by what you clicked, what you expected and what happened instead. If we need to look at a specific record to help, we will arrange that with you directly rather than ask for it by email.
This applies to us too. We will never ask you to email patient information, and if a message from us ever seems to, treat it as suspicious and write back to the address above.
What helps us answer on the first reply
- The practice name and the email address you signed up with
- What you were doing, what you expected, and what happened instead
- The browser and device you were using
- A screenshot, with anything that identifies a patient cropped out
Why there is no chat box or contact form
This site has no live chat and no forms, on purpose. On a practice-management site, a chat box is where a patient’s details get typed by mistake, and whatever is typed there sits with a chat vendor outside our agreements. One email address, with one rule about what goes in it, is the channel that keeps that from happening.
