Practice management software pricing

Pricing is per active clinical seat per month, with a monthly minimum. Client and learner records are never charged for, and admin, front-desk and biller seats are free so adding your outside biller costs nothing. Seats can be added and removed yourself at any time, prorated monthly.

Per-learner vendors bill you more for every client you take on before that client generates revenue. Seats follow your team, not your caseload.

Pricing questions

Why charge per staff seat instead of per client?
Because staff are who use the software, and per-client pricing charges you for taking on a client before that client has generated any revenue. The trade-off runs both ways: if your staff-to-client ratio is high, per-learner pricing may work out cheaper for you.
Are non-clinical staff really free?
Yes. Admin, front-desk and billing seats cost nothing, specifically so that adding your outside billing service as users is a decision about workflow rather than about budget.
What happens when a staff member leaves?
Remove the seat yourself and the change is prorated on the next invoice. Technician turnover in this field makes seat management a monthly task, so it never requires contacting support or waiting for a billing cycle.
Is there a contract?
Monthly, cancel at any time. On cancellation you can export your whole organization's data yourself, and there is a retrieval window afterwards, both stated in the agreement rather than only here.

How practice management software pricing models compare

Published prices in this market use three different units: per learner, per user and per active staff seat. Headline rates are therefore not comparable on their own, and the only meaningful comparison is the one you run at your own headcount and caseload.

Raven publishes $29 per learner for software only, or no software fee against 5% of the claims it collects for you. CentralReach publishes nothing: its pricing URL returns a 404. How the free trial works

The trial runs 14 days and starts with an email address rather than a sales call. No card is required, and the account converts to a paid plan only when you choose one.

Test the full loop in the first sitting: create a client with an authorization, build a program, capture a mock session on a phone, watch the graph draw, and check that the authorized balance decrements. That sequence is what the product is built around, and it is the fastest way to know whether it fits your practice. Use made-up clients for all of it: real patient information waits until a business associate agreement is in place.
