MWTherapy pricing: what to bring to the quote call

MWTherapy does not publish a price; it quotes. So the useful preparation is a worksheet rather than a number: your weekly active clinicians, how many locations you run, which modules you would open, and what migration involves. MWTherapy sells by quote: no public price list and no self-serve checkout. What that leaves is figures people have posted online, which are real but narrow — each is one clinic’s quote, at one size, with its own module choices and its own negotiating position.

The more useful work happens before the call. On the name

MWTherapy is written both as one word and as “MW Therapy”. Search both spellings before drawing conclusions from reviews — each tends to surface a different set, and an evaluation that reads only one misses half of what customers have said.

Five questions before you sign

  1. What is the year-one and year-three total for our clinicians, locations and modules?
  2. If we open a second location next year, what does the price do?
  3. Which charges are one-time and which recur every year?
  4. Is the increase at renewal capped, and at what?
  5. What does leaving cost — the data export, and any professional services attached to it?

The second question is the one specific to growing clinics, and it is the one a first quote almost never prices.

Per-learner vendors bill you more for every client you take on before that client generates revenue. Seats follow your team, not your caseload.

At a six-therapist clinic that is six clinical seats and no charge for patients, so $120 a month. Open a second location and it stays $120, because locations are not a billing unit here. Add a front-desk hire and an outsourced biller and it still does not move, because those seats are free.

What MWTherapy would charge the same clinic is a question only MWTherapy can answer, on a call. That is a normal way to sell software rather than a criticism — it simply belongs in the cost of evaluating.

Does a second location change what PT software costs?
Often, yes. Many practice management vendors add a per-location fee on top of seats, and some count separate treatment areas as separate sites. Ask every vendor how it counts locations before comparing quotes. Here, locations are not a billing unit at all.
