Office Puzzle vs Motivity: per-user vs per-learner pricing

Both publish prices, on different units. Office Puzzle charges $19.99 per user per month with every feature included; Motivity charges per learner: $26 for data collection, $24 for practice management, $50 for both. The two cost the same at two and a half staff logins per learner; below that Office Puzzle lists cheaper, above it Motivity does.

Two published prices on two different units

This is one of the few ABA head-to-heads where both numbers are public, so the first comparison is arithmetic rather than a sales call.

Office Puzzle charges $19.99 per user per month. A user is any staff member who logs in, from RBT to biller, and every account gets every feature with unlimited clients.

Motivity charges per learner per month: $26 for ABA Data Collection, $24 for ABA Practice Management, and $50 for the All-In-One platform that combines them. Enterprise plans, with business-intelligence dashboards and an intake portal, are quoted. Its FAQ gives a 12-month standard term, with longer terms for savings and a month-to-month option.

Because $50 is almost exactly two and a half times $19.99, the two list prices meet when an agency has about 2.5 staff logins for every learner. Here is how that plays out for an agency serving 20 learners, comparing the full products:

Where your agency lands depends on how many part-time RBTs, schedulers and billers each need a login. Count real logins, not job titles, and remember Motivity’s figure moves with your caseload while Office Puzzle’s moves with your staff.

Supervising a session from somewhere else

Motivity’s case for itself is clinical. A September 2025 post on its blog describes supervisors watching learner graphs update live as trials run, stepping into an RBT’s active session to review notes and coaching in real time. That is live data, not video. Its pricing page also promises program design from more than 1,000 templates.

Office Puzzle’s clinical page describes real-time data recording, service plans built in one step and AI-assisted note drafts, available on any device. It does not describe a live remote-supervision view, so ask to see one.

Where a per-seat price sits between them

MegAligna is a third unit: per active clinical seat, with learners and admin staff never counted, published here. It sits between the two: it does not rise with caseload as Motivity’s does, nor with office staff as Office Puzzle’s does. Common questions

Which costs less, Office Puzzle or Motivity?
At list price, Office Puzzle when you have fewer than about 2.5 staff logins per learner, and Motivity All-In-One above that. If you only need data collection, compare against Motivity’s $26 plan instead, which moves the crossing point to about 1.3 logins per learner.
Does Motivity offer a free trial?
Its pricing page does not mention one. Office Puzzle advertises a 30-day trial with no card required.
Does Office Puzzle charge for clients?
No. Its pricing page includes unlimited clients, sessions and documents in the per-user price.
Can we pilot either with our real learners?
Not until a business associate agreement covers the new system, ask each vendor for theirs first. On a trial, run test learners through a full week: programs, sessions, supervision and the export. MegAligna bills per active clinical seat, so a later pilot with one team costs that team's seats.
