Office Puzzle vs Motivity — how to choose

Office Puzzle and Motivity turn up on the same ABA shortlists, but only Motivity publishes a price: per learner, per month, on its own pricing page. Office Puzzle quotes against your headcount. So the comparison starts with one known number and one unknown, and it is decided by data collection, supervision workflow and total cost at your size.

One of these publishes a price, which changes how you compare them

Most ABA comparisons are two quotes against each other. This one is not. Motivity publishes its pricing: three tiers, each billed monthly per learner — ABA Data Collection at $24, ABA Practice Management at $24, and the All-In-One platform combining both at $48, with enterprise plans quoted rather than published. Office Puzzle does not publish a rate card, so its number only exists once you have asked for it.

That asymmetry is useful. Before either sales call, you can work out what Motivity costs at your own learner count and walk into the Office Puzzle conversation with a reference point. At 20 learners, Motivity’s All-In-One tier lists at $960 a month; at 60 learners it lists at $2,880. Ask Office Puzzle to quote the same caseload, and ask what unit it prices on — learners, clinicians or something else — because an agency with an unusual staff-to-client ratio can see the order of the two quotes flip on that alone.

Note which Motivity tier you are actually comparing. The $24 plans are data collection or practice management, not both; an agency replacing a whole system is looking at the All-In-One figure.

What Motivity is known for

Motivity’s reputation rests on data collection: flexible program building and live session streaming to the supervising BCBA. Its practice management tier advertises authorization monitoring alongside payroll, revenue and utilization tracking. If remote supervision by live stream is how your analysts work, that is the capability to ask Office Puzzle about first, because it is the one least likely to have an equivalent.

Put the same four questions to both vendors, against your real numbers rather than a headline rate:

  • What is the monthly total at our learner count and headcount, at list?
  • Which Motivity tier would we actually need, and what does Office Puzzle include at the equivalent level?
  • How does a supervising analyst observe a session they are not in the room for?
  • If we leave in two years, what does the program library export look like?

The third question is where these two products are most likely to differ, and a trial session answers it faster than any demo.

Where MegAligna fits, and where it does not

Against a per-learner model, the difference here is the unit: per-seat pricing, published, with learners never counted — plus session capture that survives a dropped connection. Against Motivity specifically, two things are missing: live session streaming, and claim transmission. Per-seat pricing is not a universal discount against Motivity. An agency whose clinical staff outnumber its learners pays less on a per-learner model, and the Motivity comparison shows the rows where that happens. Common questions

Which one is cheaper, Office Puzzle or Motivity?
Only Motivity's side can be answered without a sales call: $48 per learner per month for the All-In-One tier, or $24 for data collection or practice management alone, from its published pricing page. Office Puzzle quotes, so ask it to price your exact caseload and ask which unit it counts. The answer depends on your staff-to-learner ratio more than on either list price.
Does Office Puzzle offer live session streaming like Motivity?
We hold no dated public source on Office Puzzle’s feature set, so ask it directly and ask to see it in a trial rather than a slide. Live streaming to the supervising BCBA is the capability Motivity is best known for, which makes it the right first question for any agency whose analysts supervise remotely.
Can we move our program library between them?
Ask each vendor whether it imports a program and goal library at all, and in what format. A library that has to be rebuilt by hand is the largest hidden cost of any ABA migration, and it is usually discovered after the contract is signed rather than before.
Can we pilot one with our real learners?
Not until a business associate agreement covers the new system — ask each vendor for theirs before planning a pilot. On a trial, run test learners through a full week instead: programs, sessions, supervision and the export.
